Email Campaigns — StudioM Platform Guide

Who this guide is for: Anyone sending email campaigns, newsletters, or automated email sequences on the StudioM platform. Time to read: Approximately 10 minutes


What Can You Do with Email?

Your StudioM platform lets you send emails in two ways:

  1. One-to-one emails — sent from the Conversations inbox to individual contacts (covered in the Conversations guide)
  2. Bulk email campaigns — sent to a list of contacts using the Campaigns tool

This guide covers bulk email campaigns and email templates.

Navigate to: Marketing → Emails (left sidebar)

Email Templates — Building Reusable Emails

Templates are the building blocks for your email campaigns. Create them once, reuse them as many times as you need.

Creating an Email Template

  1. Go to Marketing → Templates (or Emails → Templates)
  2. Click New Template
  3. Choose your starting point:
  4. Blank — start from scratch
  5. Template Library — browse pre-designed layouts by category (newsletter, promotion, announcement, etc.)
  6. Use the drag-and-drop builder to design your email:
  7. Add sections, columns, images, text blocks, buttons, dividers
  8. All elements drag onto the canvas and are configurable via the right panel
  9. Personalise using merge fields — these automatically pull in contact data:
  10. {{contact.first_name}} → inserts the contact's first name
  11. {{contact.email}} → their email address
  12. {{business.name}} → your business name
  13. Every email must include an unsubscribe link — use {{unsubscribe_link}} in your footer
  14. Give the template a name and click Save

Template Best Practices

  • Keep subject lines under 50 characters
  • Lead with the most important message — don't bury it
  • Include one clear call-to-action button
  • Make sure it looks good on mobile (use the preview toggle)
  • Always include your business name and a way to contact you
  • Include a physical mailing address in the footer (required by email law)

Email Campaigns — Sending to Your Contact List

Campaigns send one email to multiple contacts at once. Use them for newsletters, promotions, announcements, or any broadcast message.

Creating a Campaign

  1. Go to Marketing → Emails (or Campaigns)
  2. Click New Campaign
  3. Give your campaign a name (internal — not visible to recipients)
  4. Set up your email:
  5. From Name — what recipients see as the sender name (e.g., "Jane at Bloom Wellness")
  6. From Email — your sending email address
  7. Reply-To — where replies go (can be different from the From address)
  8. Subject Line — what recipients see in their inbox
  9. Email Body — select or build your template
  10. Choose your recipient list:
  11. Select a Smart List or contact segment
  12. Or filter by tags, source, or other contact criteria
  13. Set your send time:
  14. Send immediately
  15. Schedule for a specific date and time
  16. Review the campaign summary
  17. Click Send or Schedule

Recipient Lists

You can send to: - All contacts - A specific Smart List (see Smart Lists guide) - Contacts with a specific tag - Contacts filtered by any criteria (source, location, custom field, etc.)

Always send to engaged, opted-in contacts. Sending to cold or unverified lists damages deliverability.


Automated Email Sequences (via Workflows)

For automated email series — like a welcome sequence, post-purchase nurture, or onboarding sequence — use Workflows rather than the Campaigns tool.

Workflows let you: - Send emails on a schedule relative to an event (e.g., day 1, day 3, day 7 after signing up) - Personalise emails based on contact data - Add conditions (e.g., only send the next email if the previous one was opened) - Mix emails with SMS, tasks, and other actions in one sequence

Email Personalisation with Merge Fields

Make every email feel personal by inserting contact data automatically. Use these merge fields anywhere in your subject line or email body:

Merge Field What It Inserts
{{contact.first_name}} Contact's first name
{{contact.last_name}} Contact's last name
{{contact.full_name}} Full name
{{contact.email}} Email address
{{contact.phone}} Phone number
{{business.name}} Your business name
{{appointment.date}} Upcoming appointment date
{{unsubscribe_link}} Unsubscribe link (required in every campaign email)

Managing Unsubscribes

When a contact clicks the unsubscribe link in your email, they're automatically marked as Do Not Disturb (DND) for email. They won't receive further campaign emails.

You can see a contact's DND status on their contact record. If a contact wants to resubscribe, they'll need to contact you directly — you can remove the DND status from their contact record.


Viewing Campaign Results

After a campaign sends, you can see how it performed:

  1. Open the campaign from the Campaigns list
  2. View metrics:
  3. Delivered — how many emails reached inboxes
  4. Opened — how many recipients opened the email (open rate)
  5. Clicked — how many clicked a link (click rate)
  6. Unsubscribed — how many opted out
  7. Bounced — emails that couldn't be delivered

Use these numbers to improve future campaigns. A good open rate is typically 20–30%+.


Email Deliverability — Keeping Your Emails Out of Spam

Deliverability is how reliably your emails land in inboxes (not spam folders). Your StudioM email setup is configured for good deliverability, but here's how you can help:

Do: - Send to people who have opted in or actively engaged with your business - Keep your contact list clean — remove old, inactive contacts periodically - Use a consistent "From" name that recipients will recognise - Write subject lines that are clear and honest (no misleading claims) - Include an unsubscribe link in every campaign email - Include your business name and address in the footer

Avoid: - Sending to purchased or scraped lists - Using spam trigger words in subject lines (e.g., "FREE!!!", "ACT NOW", excessive caps) - Sending to contacts who haven't heard from you in years without a re-engagement campaign first - Large batches to a brand-new contact list without warming up gradually

Email Compliance

You must: - Only email people who have opted in to receive communications from you - Include a physical mailing address in every campaign email - Honour unsubscribes within 10 business days (the platform handles this automatically) - Not use deceptive subject lines

The platform handles unsubscribe processing automatically — when someone unsubscribes, they're removed from future campaign sends without you needing to do anything.


Common Questions

Q: How do I send an email to just one person? Use the Conversations inbox — go to the contact record or the Conversations section and compose from there. Campaigns are for bulk sends.

Q: Can I see who opened my campaign? Yes — open the sent campaign and look at the detailed report. You can see which contacts opened the email and when.

Q: Can I resend a campaign to people who didn't open it? Yes — filter your contacts by those who didn't open the campaign, create a new campaign, and send a follow-up. Alternatively, set up a workflow to do this automatically using the "Email Opened" trigger.

Q: How do I schedule a campaign to go out at a specific time? When creating the campaign, choose "Schedule" instead of "Send Now" and pick your date and time.

Q: My emails are going to spam. What should I do? Contact StudioM Support. This is almost always a configuration issue with your sending domain that we handle on the backend.
